How to schedule & run a Flow

Once a flow is created, if it is configured to run on a scheduled date and time, the flow will automatically run on that schedule. If it is configured to run on demand, the flow will run whenever the owner triggers it.

Who can use this feature?

Only flow owners can schedule or run a flow on-demand (to learn more about what a flow owner is, check out our flows overview help article).

What to expect

Flow owners can:

  1. Schedule or run a flow on-demand
  2. Send reminders to participants
  3. Change the flow’s schedule or trigger type
  4. End the occurrence manually

How to schedule a flow

  1. From my.joinassembly.com, click “Add a new flow” in the flow feeds list or from the bottom of the action bar on the main feed. 
  1. On the trigger step, select Scheduled date & time
  2. Select the start date, start time, how long participants have to answer the flow, how often you’d like the flow to recur, when you would like the flow’s schedule to end, and which time zone you’d like the flow schedule to run in.
  3. Once the flow is created, the flow will automatically run on the date and time configured in the builder.
  4. This will also automatically notify all participants that the flow is running and prompt them to respond. 
  5. If the flow is configured to recur more than once, it will recur on the same schedule until the flow schedule is configured to end. 
  6. If the flow schedule is not scheduled to end on a specific date and time, it will continue to recur until you either archive the flow or change the schedule

How to create an on-demand flow

  1. From my.joinassembly.com, click “Add a new flow” in the flow feeds list or from the bottom of the action bar on the main feed. 
  1. On the trigger step, select On demand
  2. Configure how long participants have to answer the flow once it’s triggered (you can also modify this when you run the flow). 
  3. Once the flow is created, the owner can run the flow whenever they want, as many times as they want.

How to run an on-demand flow

  1. From my.joinassembly.com , select the flow you would like to run.
  2. Click Run flow from the flow feed header.
  1. Set the due date for the flow. Your flow will remain active until this due date passes, however you can end the flow at any time (steps listed in the end occurrence section). NOTE: the maximum length for the deadline is 4 weeks, or 31 days; the minimum is 5 minutes
  2. Click Run Now. This will send an email notification to all participants in the flow (unless they have disabled notifications for this flow). 
  3. Once the flow is running, participants will be able to answer the flow. 
  4. They can only answer the flow once, unless the flow is configured to allow participants to answer anytime.


How to send reminder notifications to participants

When a flow is running, you can send reminder notifications to all participants who have not yet answered the flow. You can do this as many times as you like while the flow is active and there are participants who have not yet answered.

  1. From my.joinassembly.com , select the flow you would like to send reminders about.
  2. Click Remind from the flow feed header.
  1. Click Send reminder



How to end an occurrence manually

Whenever a flow occurrence is triggered, participants can answer the flow until the occurrence ends. Every occurrence will end when the configured due date passes, however flow owners can manually end an occurrence at any time before the due date passes. 

  1. From my.joinassembly.com , select the (active) flow you would like to end the occurrence for
  2. From the three-dotted menu in the flow feed header, click End occurrence
  1. Confirm you would like to end the occurrence by clicking End occurrence.

This will end the flow immediately, regardless of the deadline, and any participant who has not yet answered the flow will no longer be able to do so until you run the flow again.
