Are you still relying on annual retreats to boost morale? Modern employee engagement strategies go beyond the usual clichés. These days, with the right employee engagement platform or intranet, you can facilitate real-time collaboration and simplify communication seamlessly from your digital workplace.

In this article, we'll explore the benefits of a robust intranet and how it can amplify your employee engagement efforts.

What Makes a Good Employee Engagement Software?

A good employee engagement software effectively simplifies communication, encourages teamwork, and delivers tools tailored to individual needs. It should seamlessly integrate into daily workflows, ensuring employees have easy access to resources, collaboration spaces, and feedback channels without overwhelming them with too much information.

The modern company intranet exemplifies this. It is a private network exclusive to an organization's employees and is designed to be a central hub where employees can access necessary resources, communicate with colleagues, and stay informed about company news.  When used efficiently, an intranet meets all the criteria of an excellent engagement tool.

Why is such engagement important, anyway? The answer is in the numbers.

Engaged teams have been proven to be more profitable, dedicated, and stable. A Gallup report indicates that such teams demonstrate 21% greater profitability, 41% less absenteeism, and 59% less turnover.

Clearly, prioritizing employee engagement isn't just good for morale; it's also a strategic move for your business’s bottom line.

How Can Employee Engagement Software Improve Employee Engagement?

A company intranet, especially when designed with engagement in mind, can greatly improve how connected and involved employees feel within their organization.

Here's how it does that:

  1. Collaboration tools

Many intranets come equipped with tools that allow employees to work together on projects. Features like shared calendars, discussion boards, and document collaboration can enhance teamwork, allowing for real-time interactions and reducing potential misunderstandings.

This is particularly essential for organizations with remote teams or multiple office locations. Collaboration tools on the intranet bridge the gap between these distances and ensure everyone remains connected and aligned with company objectives.

  1. Personalized content delivery

Employee engagement increases when team members feel the content they access is tailored to their needs. An intranet for employee engagement allows for personalization, ensuring that each employee receives relevant updates, tasks, and news specific to their role or department.

For example, Assembly's content curation feature lets employees only view pertinent news, updates, or tasks specific to their responsibilities. This prevents information overload and helps employees focus on what truly matters to their roles.

  1. Feedback mechanisms

Employee engagement is a two-way street. While providing resources and information to employees is important, getting their feedback is equally vital.

When a significant proportion of employees feel their opinions matter, it can potentially reduce turnover by nearly 27%, cut down safety incidents by around 40%, and bolster productivity by approximately 12%.

Assembly’s intranet solution provides various channels, like forums, feedback portals, or suggestion boxes, where employees can voice their opinions, share ideas, and participate in company decisions. These tools can also help management understand the sentiments, concerns, and suggestions of their staff.

  1. Resource distribution

Intranets streamline the distribution of essential resources to employees and ensures everyone has instant access to updated tools, documents, and materials needed for their tasks.

When employees have all they need at their fingertips, they’re more inclined to perform their jobs efficiently, leading to increased satisfaction and engagement.

Additionally, features like on-demand training and personalized resource recommendations allow employees to continuously improve and feel a stronger connection to the organization.

  1. Recognition tools

Intranets offer platforms for recognizing employee achievements. By spotlighting outstanding work, employees feel more valued, which directly influences their engagement and productivity.

Assembly ensures employees never go unrecognized. Our features highlight both individual and team accomplishments. With Assembly, you can build a bespoke recognition program, let employees nominate themselves, and even set up reward point contests for your employees.

Regular, visible appreciation on these platforms reinforces an employee's sense of belonging and contribution to the company.

How Do You Use an Intranet for Employee Engagement?

"How do you engage employees on an intranet?" is a question many HR professionals and managers grapple with. In this section, we’ll find out how.

  1. Personalize. Personalize. Personalize: Customize the intranet interface for each employee. When individuals log in, they should see updates, tasks, and news pertinent to their role, not unnecessary updates. This kind of personal touch can make a significant difference in how engaged an employee feels. It can also decrease the amount of time needed to find relevant information.
  2. Ensure ease of use: Regularly update the intranet's user interface to keep it intuitive. A user-friendly platform encourages more regular interactions. When employees can navigate the system without friction, they're more likely to use its resources and participate actively.
  3. Centralize communication: The intranet should be more than just an information hub. It should facilitate communication. Implement chat rooms, discussion boards, or even video conferencing tools. This makes the intranet a go-to place for any team communication, turning it into an essential employee engagement tool.

  1. Gather feedback regularly: Include employee engagement surveys on the intranet. Design specific employee engagement survey questions to understand what's working and what's not. Regular feedback can guide improvements and show employees that their opinions matter.
  2. Provide learning resources: In a 2021 global poll by Statista involving employees, most participants felt that learning was essential to their career advancement.

Introduce modules or sections where employees can access training materials. Webinars, workshops, or e-learning courses can be hosted. An intranet equipped with skill development resources becomes more than just an employee engagement software; it becomes a platform for growth.

  1. Celebrate achievements: Recognize and celebrate employee achievements on the intranet. Whether it's a work anniversary, a successful performance review, or an accolade, highlighting these on the intranet can give employees a sense of pride and belonging.
  2. Maintain transparency: Share company goals, metrics, or performance results. When employees understand the company's direction and their role in it, engagement naturally increases.

Leveraging the full potential of your intranet requires a mix of the right features and a strategic approach. With the above guidelines and the integration of efficient employee engagement tools, any organization (yours included) can transform its intranet into a powerhouse for engagement and productivity.

Yes, at Assembly, security is a top priority. Each quarter, we have ongoing security work that is everyone’s responsibility. There is study after study showing that employee recognition leads to increased engagement. How much do rewards cost?

At the time of redemption (when your employees exchange their points for a paid reward) you'll pay face value. If a reward is a $10 Amazon gift card, your cost will be $10. All paid rewards are billed for on a monthly basis.

What customizations are available?

Great question! You can customize your core values to match your organization's to boost and track alignment. You can change your currency from the 🏆 emoji (our default) to any emoji of your choice. You can swap our logo for your own. You can also set up company culture rewards such as, "Lunch with the CEO," "Buy a book on us," and so much more!

Who can give or receive recognition?

While we recommend a peer to peer set up where anyone in your organization can give or receive recognition, you can set up Assembly however you want. If you need to limit the people who can give or receive recognition, that's perfectly fine and can be done from your Admin, here.

What integrations are available?

Assembly connects to the tools your employees use every day to offer an easy, seamless experience with minimal change management.

Assembly has integrations with HCM/HRIS systems like ADP, Google, Office 365, and Slack. We also integrate with communication tools like Slack and Teams so you and your employees can access Assembly wherever they work now.

What's your average adoption rate?

That depends on the company's permissions set up. That said, over 90% of the employees on Assembly's platform are recognized on a monthly basis. That means nearly every employee across all of our customers are receiving regular recognition from their peers, managers, or leadership. We're extremely proud of this.

Must rewards be set up to use Assembly?

They are not required. You can use Assembly without having rewards set up. However, we don't recommend it if you intend to have a high adoption and usage rate. You can always keep the costs down by offering internal culture rewards that are fulfilled by you internally.

Are points required to use Assembly?

No, you can remove allowances from anyone or everyone. It's up to you but we do recommend using points whether they're worth a real dollar value or not. Companies that use points have a much higher engagement rate even if those points don't exchange for real dollars.
